This notice explains what happens when you use the capture feature, which reads a passage you paste and proposes records to add to your project. It sits alongside the privacy notice and the terms, and does not replace them.
We do not provide the AI
Exalink does not run, host or resell an AI model. The feature does nothing until you add your own API key for a provider you already have an account with — currently Anthropic, OpenAI or Google. Without a key the feature is unavailable, and no text of yours is sent anywhere.
What is sent, and what is not
When you run a capture, we send the provider you chose:
- the passage you pasted, and any correction you type afterwards;
- a description of your project's structure — the names of the record types it uses, the names of its calendar units, and the names of its relation roles and organization ranks.
We do not send your account details, your email address, your chapters, your other projects, or the records already stored in your project. The extraction runs without them by design.
Your provider processes it under your agreement, not ours
You hold the account with the provider and you are billed by them. What they do with the text — how long they keep it, whether it may be used to improve a model — is governed by their terms and your account settings with them, and we do not control it and cannot promise anything on their behalf. Read their terms before you turn this on.
Each provider publishes its own policy for API traffic. Whether data sent through an API is retained or used for training differs between providers and between account tiers.
Shared projects
A project can have several members. Only your own key is ever used for a capture you run, and never another member's. But the passage you paste can describe a world your collaborators wrote, and the project structure sent with it was authored by the team.
If you work with other people, tell them which provider you use before you capture their material. A collaborator cannot see, or veto, the provider you chose.

The 24-hour window exists so a review can be corrected and saved. After it passes, the text itself is gone and only the summary remains. The summary contains no passage text.
Your key
Your key is encrypted before it is stored and is never sent back to your browser, shown to anyone, or included in a project export or backup. It is decrypted only at the moment a request is made to your provider on your behalf.
You can remove it at any time in your account settings, which deletes it. Removing it stops the feature working immediately.
Nothing is written without you
Every record the assistant proposes is shown to you and saved only if you approve it individually. The assistant cannot change or delete anything that already exists, cannot touch your chapters, and cannot create records of a type you do not have permission to create yourself.
