Permissions reference

Every action a role can be given in Settings → Permissions, and what each one lets a person do. To create roles and hand them to people, start with roles and permissions.

How are collections, images, custom fields and world rules controlled? #

Each one is tied to permissions you can see in the matrix, so a role can have exactly the part it needs.

  • Collections. One set of three permissions covers every collection and its records: Read collection records, Write collection records and Delete collection records. There is no permission per collection, so a role that can write records can write them in all of your collections. Changing a collection's fields afterwards needs Super, like any other custom field.
  • Images. View image library opens Images, the storage meter and the Existing tab of the image picker. Upload images is needed to add a new picture, on top of the write permission for the record, book, map or layer it belongs to. Delete Image removes pictures from the library.
  • Custom fields. Defining the fields of any kind of record or collection needs Super, the permission that guards the project's settings: adding, changing, grouping, arranging and deleting fields, and switching them on or off for a kind. A new collection arrives with the fields chosen when it is created. Seeing a kind's fields needs that kind's read permission, and filling in a value needs the write permission of the record itself, such as Write Character. Roles that could define fields through a kind's write permission no longer can: give them Super, or let someone who holds it define the fields.
  • Custom values (tags, relation types, location types, event roles and rule categories): Read Custom Values, Write Custom Values and Delete Custom Values.
  • World rules. Read world rules, Write world rules and Delete world rules. Linking a rule to what it governs is a relation, which needs Manage Relations.

Can I limit someone to one book? #

Not inside one project. A role covers the whole project, so a person who can write chapters can write the chapters of every book in it. To limit someone to one book, keep that book in a project of its own and invite them there.

What happens to my roles when a permission is added? #

Nobody loses access. A permission added after your project was created starts with the roles that already held the permission it grows out of: plotlines follow chapters, languages, collections and world rules follow entries, and ideas follow brainstorm. View image library starts with every role, and Upload images with every role that could already add a picture by saving a book, character, creature, organization, location, language, map or collection record. Open Settings → Permissions to tighten any of them.

What does each permission allow? #

Reading, writing and deleting are separate ticks, so a role that writes something should usually read it too. Deleting something sends it to the archive first, except pictures and custom values, which are removed for good. Opening the archive and restoring from it are the permissions under Publishing, backups and the archive.

Project and people #

Permission What it allows
Super Everything in the project: its settings, roles and permissions, who holds which role, defining custom fields (adding, changing, grouping, arranging and deleting them), switching them on or off for a kind of record, saving a template and deleting the project. A role with Super has every permission below.
View Project Open the project and see its overview. Every role in a project always has this, so unticking it changes nothing.
Edit Project Add, change and delete storyline events, and adjust the project's work suggestions. The rest of the project's settings need Super.
Invite User Invite people into the project.
Remove User See who is in the project and remove people from it.

Books, chapters and ideas #

Permission What it allows
Read Book Open books and their details.
Write Book Create books and change their name, cover, icon, colour and public details.
Delete Book Delete books, along with their chapters and plotlines.
Read Chapter Open and read chapters, the manuscript, word counts and earlier versions of a chapter.
Write Chapter Create, edit and reorder chapters, and restore an earlier version.
Delete Chapter Delete chapters.
Read Plotline Open plotlines in the weave, the story map and each chapter.
Write Plotline Create and edit plotlines and their beats, and import plotlines.
Delete Plotline Delete plotlines.
Read Brainstorm Open brainstorm boards and their items.
Write Brainstorm Create and edit boards, and add, move and remove items on them.
Delete Brainstorm Delete brainstorm boards.
Read Ideas Open the ideas inbox and read ideas.
Write Ideas Capture, edit, sort and link ideas.
Delete Ideas Delete ideas.

Write Entry Create and edit entries, and set the values of their custom fields.
Delete Entry Delete entries.
Read Language Open languages, their sounds and word lists.
Write Language Create and edit languages, including their sounds, name patterns and word lists.
Delete Language Delete languages.
Read Event Open events and see them on the timeline.
Write Event Create and edit events, and set the values of their custom fields.
Delete Event Delete events.

Maps, locations and time #

Permission What it allows
Read Map Open maps, their layers and the overlays drawn on them.
Write Map Create and edit maps and their layers, including removing a layer.
Delete Map Delete maps.
Read Location Open locations, their points and their city maps.
Write Location Create and edit locations, set their type and icon, move their points, and set the values of their custom fields.
Delete Location Delete locations.
Read Place Open places inside locations.
Write Place Create and edit places, and set the values of their custom fields.
Delete Place Delete places.
Read Timeline Open the timeline and its calendar.
Write Timeline Change the timeline's calendar and dates.
Delete Timeline Not used by any action at the moment: a project's timeline cannot be deleted on its own.

Collections, rules, custom values and relations #

Permission What it allows
Read collection records Open collections and their records.
Write collection records Create, rename, reorder and edit collections and their records, and set the values of their custom fields. One set of permissions covers all collections.
Delete collection records Delete collections and records. Deleting a collection sends its records to the archive with it.
Read world rules Open world rules and see the rules that apply to a record.
Write world rules Create and edit world rules. Linking a rule to what it governs needs Manage Relations.
Delete world rules Delete world rules.
Read Custom Values See custom values: tags, relation types, location types, event roles and rule categories.
Write Custom Values Create custom values, and set a location type's icon (that also needs Write Map). Saving a record with a brand-new value adds it without this permission.
Delete Custom Values Delete custom values. Records that used one lose it.
Manage Relations Link records to each other: create, change and remove relations.

Images #

Permission What it allows
View image library Open the project's image library and storage meter, and pick an existing picture in the image picker.
Upload images Upload a new picture while saving a record, a book cover, a map or a layer. It is needed on top of the write permission for that record.
Delete Image Delete pictures from the image library. A picture that is still in use cannot be deleted.

Publishing, backups and the archive #

Permission What it allows
Manage Publication Publish and unpublish books and chapters, set a book's cover, and see publishing analytics and schedules.
Manage Backup Download and restore backups, and duplicate the project.
View archived items Open the archive and see deleted items.
Restore from archive Restore items from the archive. It works together with View archived items.

Dashboard and AI #

Permission What it allows
View Dashboard Open the dashboard.
Edit Dashboard Change which cards the dashboard shows and how they are arranged.
Use AI Assistant Use AI capture with your own provider key.

Tips #

  • Tick read and write together. A role with a write permission but no read permission can change records it cannot open.
  • Look at images when a save fails. If a role can edit a character but not save a new portrait, it is missing Upload images.
  • Keep Super for owners. A role with Super has every permission, whatever else is ticked.
