Images

Images are the pictures in your project — character portraits, book covers, map images and reference art. They live in one image library per project, so you can reuse a picture instead of uploading it again.

How do I add a character portrait or other image? #

Anywhere a record takes a picture, the picker offers Upload and Existing. That includes a character's portrait, a creature's, language's or organization's picture, a book's cover, a map layer, a location's or the project's icon and a picture in a chapter.

  • Upload takes a new file: drop it on the box or click to choose one. JPEG, PNG and GIF work.
  • Existing shows the pictures already in the project. Press Select on one to use it here as well.

Every upload lands in the project's image library, which you can open from Images in the project. Portraits, covers and similar pictures are resized and compressed as they upload, so they take up less room than the file you chose. Map images are kept as they are.

Uploading a file the project already holds uses the stored picture again, so it takes no extra space. Each project keeps its own copy: the same file uploaded to two projects counts in both.

How much can I upload? #

Limit Value
One file 10 MB
All images in one project 50 MB

Everything uploaded inside a project counts against that project's allowance. Your profile photo belongs to your account instead, so it does not count against any project.

Images shows Storage used for the project, with each picture's size on its thumbnail. The bar changes colour as the project nears its limit. Once it is full, you need to delete some images before you can upload more. Some projects have no limit, and the meter then says so.

When space runs short, delete a few large reference photos rather than shrinking what you keep. A portrait at a sensible size costs very little, while one unresized photograph can cost more than a hundred of them.

Who can see my images? #

Only people who can open a project see its images. The address of an image stops working after about an hour, so a link copied out of the page does not become a lasting public address for private work.

Publishing a book makes public its cover and the pictures in the chapters you published, as they were when you published them. Every other image in the project stays private, portraits and maps included. Unpublishing the book stops these being handed out, but an address someone already copied keeps working.

How do I delete an image? #

Open Images in the project, point at the picture, press Delete and confirm. An image that is still in use cannot be deleted. Remove it from the portrait, cover, map layer, icon or chapter first; a picture in a published version of a chapter stays in use until you publish the chapter again without it.

Deleting an image is final. Unlike records, images are not kept in the archive.

Who can upload, view and delete images? #

Three permissions control the library. View image library opens Images and the Existing tab of the picker. Upload images is needed to add a new picture, on top of the write permission for the record it belongs to. Delete Image removes pictures from the library. See the permissions reference.

Tips #

  • Resize large photos before you upload them. It keeps them under the 10 MB limit and leaves room in the project for everything else.
  • Reuse instead of re-uploading. Pick the same picture from Existing for a second record; it costs no extra space.
  • Clear space starting with the largest. The size on each thumbnail in Images shows where the space went.
  • Choose the cover with care. It is the one image a published book makes public, and an address already shared keeps working after you unpublish.
